The position of Administration Officer will be responsible for supporting the delivery of membership services on behalf of our clients, as well as providing administrative support to the Association Professional team.

The Administration Officer is responsible for working with a team of dedicated professionals to deliver contracted services to allocated clients, and engaging with other staff and suppliers on behalf of clients. The role combines performing operational tasks under the direction of other members of your team, working both autonomously and collaboratively where appropriate.

Key Responsibilities & Duties:

General

  • Complete duties in accordance with established Association Professionals’ protocols, processes, and procedures.
  • Work collaboratively within allocated team
  • Carry out or assist with tasks which ensure the smooth running of the business as directed.

Client Services

  • Maintain electronic and physical client file systems/filing and archives.
  • Provide other, general day-to-day administration support for clients as may be required from time to time.

Marketing and Communication Services

  • If contracted, assist with the electronic and physical distribution of client journals and publications.
  • If contracted, assist with the management and maintenance of the client’s merchandise items, including but not limited to order quantities, and pricing.
  • Periodically undertake and document the stocktake client inventory, working with the relevant Association Manager.
  • Assisting the relevant Association Manager, process online store orders, including packaging, freight, and communication with purchasers.

Membership Services

  • Assist with maintaining client membership database(s).
  • Ensure all new member packs are compiled and dispatched in a timely manner.
  • If contracted, assist with maintaining the relevant member services and benefits, as directed by the relevant Association Manager/s.
  • Assist with the annual client membership renewal campaigns in collaboration with the Association Manager. Including, but not limited to, answering phone enquiries and following up payment and/or documentation as requested, as well as preparing and distributing acknowledgements such as new certificates where appropriate.
