We are looking for a reliable and enthusiastic conference event assistant to join our events team and help us with the preparation of three major events in 2024: 

  • National Biodiversity Conference 3.0, 
  • EIANZ 2024 Impact Assessment Symposium and 
  • The EIANZ Annual Conference 2024. 

The conference event assistant will report to the EIANZ event manager and assist with various administrative and operational tasks. This is a part-time, fixed-term contract position for 3 months, starting immediately. The position is based in our Melbourne office and requires working two days per week. 

Key Responsibilities

  • Assist with the planning and organisation of the three EIANZ events, such as obtaining quotes, booking venues, ordering catering, and sending invitations.
  • Provide administrative support to the event manager, such as preparing PowerPoint presentations, reports, correspondence, and invoices.
  • Liaise with internal and external stakeholders, such as speakers, sponsors, venues, and suppliers, to ensure the timely and accurate delivery of the event requirements.
  • Respond to enquiries and requests from event participants, members, and the general public, via phone, email, and potentially social media.
  • Contribute to the continuous improvement of the EIANZ events and the events team

Selection Criteria

  • A relevant qualification in event management, business administration, or a related field, currently studying towards one, or equivalent experience.
  • Some experience in assisting with the organisation and delivery of conferences or similar events.
  • Good communication, interpersonal, and customer service skills, with the ability to work effectively with a diverse range of stakeholders.
  • Good organisational, time management, and problem-solving skills, with the ability to prioritise and manage multiple tasks and deadlines.
  • Proficiency in using Teams and Microsoft Office applications, and capability to learn to navigate a unique CRM
  • A positive, proactive, and flexible attitude, with the ability to work independently and as part of a team.
  • A commitment to the EIANZ values and code of ethics, and an interest in environmental issues and professional development.
