Our Purpose
The Hush Foundation was established in 2002 and it is an ACNC Registered Charity. Our vision is to see healthcare services prioritise kindness, respect and well-being for staff, patients, families and carers by bringing the arts into the healthcare environment. Over the past 21-years Hush has worked with composers, musicians, singer-songwriters, actors, authors, illustrators, and other creatives to produce nineteen music albums, three healthcare plays and a much-loved treasure book that has stood the test of time. Our music is purpose-made to create a sense of calm in stressful environments such as healthcare.
Since 2015, the Hush Foundation has hosted the unique “Gathering of Kindness” annual event, which aims to build, nurture, and instil a culture of kindness throughout the healthcare system. The Gathering of Kindness event connects people from inside and outside the healthcare sector – including healthcare workers, artists, researchers, musicians, and innovators – with the aim of reimagining the healthcare experience by placing kindness, trust, and respect at the core. More recently, we have introduced a subscription service, Gathering Of Kindness Across the Year (GOKATY), offering a range of ready-to-use marketing resources for team building and self-care, designed to support key healthcare events throughout the year.
Position Summary
The Administration Assistant/PA supports the overall operation of the Hush Foundation through administrative support across communication, programming, diary management and other administrative tasks. This key role connects the various areas of operations within Hush Foundation, working closely with staff and Board members to achieve the vision and mission of Hush.
Position Description:
Main Duties/Responsibilities
- Support program and project delivery by providing administrative support and working collaboratively with members of the Hush team.
- Provide administrative support to the annual Gathering of Kindness (GoK) event, including contract preparation, attendee and general correspondence, speaker/presenter administration support, merchandising arrangements and one-the-day event support (this may require additional hours during the week of the event).
- Provide administrative support to the delivery of ongoing Hush Foundation programs including the Health Play program in live performance, vignettes and audio formats, Hush Music, and GoK Around the Year resources.
- Be the initial point of contact for public enquiries via the info@hush.org.au email address and the website and respond or direct correspondence as appropriate.
- Maintain the Hush digital filing system on G-suite. This may include supporting staff to work within the current file system structure to facilitate an accessible system.
- Oversee the maintenance of all Hush Foundation stakeholder databases including volunteers, partners, subscribers, event attendees, speakers and others as required.
- Oversee website maintenance including content updates, newsletters and reporting analytics
- Order and manage merchandise stock. Process outgoing orders and ensure accurate distribution.
- Engage volunteers as required to support merchandising.
- Support the role of General Manager through diary management and administration support
- Provide administrative support for Board and Team meetings including preparing papers, agendas, and minutes and coordinating meeting dates, times and locations.
- Coordinate and book travel and accommodation as required for Board Members, Staff, Presenters and guests of Hush.
- Work collaboratively with other Hush staff members, and external stakeholders to achieve organisational goals and outcomes
- Abide by workplace health and safety policies and procedures.

Required skills & experience
Qualifications:
- Certificate III in Business Administration (or similar/experience)
- Studying health-related/business administration/marketing
Experience:
- Some experience in a similar role is required
Skills:
- Intermediate to advanced Microsoft Office Suite and Google Workspace Applications (including Word, Excel, PowerPoint, Outlook, One-Drive, Gmail, Calendar, G-Drive, G-Docs, and G-Forms)
- Beginner to Intermediate desktop publishing skills (Adobe Suite and/or Canva)
- Excellent verbal and written communication skills
- Exceptional interpersonal skills
- Able to work effectively in remote environments whilst maintaining close communication with colleagues
- High level of autonomy and initiative
- Strong organisational, project management and problem-solving skills with excellent multi-tasking abilities
- Strong work ethic with a mature and confident approach
- Experience liaising with various stakeholders across many levels including executives, organisation representatives, workers and volunteers.
