Job Statement

The Medical Receptionist Position is a part-time position, involving front-line administrative duties as well as the provision of services associated with the practice.

The role provides services to all patients and health providers of the practice. The reception desk is the first point of contact for all patients. Therefore, it is important to be polite and pleasant at all times irrespective of the presenting situation.
Job Duties and Responsibilities

  1. Greeting patients and providers upon arrival, answering telephone enquiries, taking messages, scheduling appointments etc;
  2. Undertaking Medicare payment procedures, preparing accounts and/or Medicare vouchers;
  3. Managing patient records, x-ray and pathology reports on patients’ files as per the Practice procedures and general files management and maintenance. It is imperative that patient details are checked, updated and maintained at all times using the three-point identifiers.
  4. Mail – opening, sorting and allocation. Additionally, providing administrative services as per the direction of the Doctor;
  5. Other administrative duties, i.e. Faxing and photocopying as per the direction of the Doctor;
  6. The immediate support of unwell or distressed patients who attend the surgery and patient liaison;
  7. Practice maintenance – ensuring that the waiting room, children’s play area and toilet are kept clean, tidy and hazardous-free;
  8. Initial contact point for patient problems and complaints.;
  9. Other duties that may evolve as a result of the outcomes of the probationary period and in consultation/mutual agreement with Practice and Office Manager;

The Receptionist is responsible for maintaining a team approach to the provision of the above services which are an indication of the Duties outlined above but do not exclude other responsibilities which might arise from time to time.
