Timberlink Australia is a leading timber products manufacturing and distribution business. Their two manufacturing sites are located close to some of the best plantation pine resources in the world - Bell Bay in Tasmania & Tarpeena in South Australia. The head office is located in Knoxfield, Melbourne where the department heads for sales, marketing, human resources, and Executive Lead Team are based.

About the role:

  • Timberlink Australia currently has a vacancy for an Administration Personal Assistant who enjoys a fast-paced role with lots of variety daily.
  • The successful candidate will be primarily responsible for providing exceptional support to the Executive Assistant who supports the Executive Lead Team, CEO, and the greater business, as well as being a central point of contact for internal and external matters as required.
  • This role would suit someone who is looking to gain more experience within an executive setting and can provide support on administrative tasks and facilitate business needs such as travel bookings, minute takings, etc.
  • This permanent, full-time position reports directly to the Executive Assistant and is based at their Scoresby office, with the opportunity to have a balance between office and WFH from time to time.

Key responsibilities include:

  • Manage phone calls and other correspondence such as emails & letters Create and update company records Coordinate and manage appointments, schedules, and activities
  • Supporting Knoxfield leadership staff members and customers
  • Process invoices and credit card reconciliation
  • Provide administration support to Executive Lead Team assistant/Lead team
  • Preparation of PowerPoint presentations
  • Attend meetings as required to take minutes

Required experience:

  • Experience either within a corporate admin/reception environment or retail/customer service environments
  • Microsoft office suite knowledge – Office 365 with teaming/planner exposure preferable
  • High prioritisation skills and effective juggling of priorities
  • Ability to liaise with a wide variety of internal and external stakeholders as required.
